Assistant to Head of Editorial Content, Vogue Japan


Condé Nast is a global media company, home to iconic brands including Vogue, The New Yorker, GQ, Glamour, AD, Vanity Fair and Wired, among many others. The Assistant is a crucial role at Vogue, providing first-class support for the Head of Editorial Content (HEC), managing the smooth running of their office, overseeing all administrative duties and acting as a gatekeeper to the HEC’s schedule. The ability to multi-task and prioritize are a given, as is a flair for thinking quickly on your feet. The successful candidate will be an excellent communicator, able to manage a network of relationships, with external figures in the Japan fashion industries, and across the business at Condé Nast.

Primary responsibilities

• Supporting the Head of Editorial Content, Vogue, at all times

• Managing an extensive diary with a complex, demanding and often-changing schedule

• Meeting with clients and handling confidential correspondence with expertise

• Preparing for all meetings: researching clients, organizing agendas and board packs and managing complex scheduling demands

• Planning, organizing and managing corporate and private events

• Liaising with a wide and varied range of business and personal contacts, presenting a professional and trustworthy demeanor at all times

• Booking all travel/hotels, ensuring appropriate visas have been obtained, for corporate and leisure, and preparing complex travel itineraries

• Managing and reviewing filing and office systems

• Traveling as necessary, demonstrating flexibility and initiative to provide necessary administrative support

• Demonstrating excellent budget management, organizational and communication skills

• Understanding and anticipating the needs of in-demand individuals

Desired skills and qualifications

• Experience in a similar role, assisting at a highly pressurized, executive level

• First-class grammar and spelling, and excellent drafting, writing and proof-reading ability

• Strong administrative and digital-admin skills with impeccable attention to detail

• Exceptional time management and organizational skills, providing support to ensure the Editorial Director is working efficiently and has optimum performance

• Confident telephone manner and an ability to communicate with staff at different levels and across different departments; calm under pressure

• Self-driven and motivated, with an ability to show initiative in all situations and the ability to take responsibility for actions

• Ability to think on your feet, and show initiative and discretion at all times
